Manual Scheduling 101 (PDF)

Appointment requests are due to U.S. Travel no later than April 6, 2009 (5:00 pm EST). You will be sent your appointment schedule list a few weeks before International Pow Wow.

Here is a summary of the priority in which computer-generated appointments are scheduled:

  1. Mutual International Buyer and U.S. Supplier requests
  2. International Buyer requests
  3. Mutual Domestic Buyer and U.S. Supplier requests
  4. Domestic Buyer requests
  5. Up to 5 U.S. Supplier requests
  6. International Journalists
  7. Visit USA Committee Members

In early March 2009, registered International Buyers will be notified when the Online Appointment Scheduling is available to search for and request appointments with U.S. Suppliers. Your registration will not be considered valid if you do not submit a minimum of 30 Appointment Requests on or before April 6, 2009.

As a condition of acceptance of your registration, you must agree to keep your pre-scheduled appointments. The U.S. Travel Association and the U.S. travel industry make a large investment to host you at International Pow Wow and in return we ask that you make every effort to honor your pre-scheduled and onsite commitments. Future attendance at International Pow Wow will be denied to those International Buyers who consistently cancel, "no show" or do not attend their appointments.

Due to the availability of numerous appointment scheduling opportunities such as powwowonline.com, the Monday morning Appointment Scheduling Session and the onsite Message Centers, refunds are not issued to buyers who do not receive pre-scheduled appointments.

NOW is the time to start preparing for appointment scheduling. Use powwowonline.com to contact the U.S. Suppliers now with whom you wish to meet at International Pow Wow. Be sure they know you are attending and ask them to select the Domestic Buyer Appointment Option and to request an appointment with you. This will dramatically increase the chance of having an appointment pre-scheduled because ­priority is given to mutual requests.

NOTE: If U.S. Suppliers have opted out of the Domestic Buyer Appointments Option, you will not be able to request appointments with them.

You will be sent your appointment schedule list a few weeks before International Pow Wow.

Here is a summary of the priority in which computer-generated appointments are scheduled:

As always, U.S. Supplier requests that were not scheduled will be listed on buyers' appointment lists so they are aware of U.S. Supplier's interest in meeting with them and can use this information to determine with whom to schedule additional appointments. Appointments you requested that could not be scheduled will be listed on your appointment schedule indicating why the appointment could not be made. There will also be a listing of buyers who requested you but could not be scheduled.

Appointment Scheduling Session
Open Appointment Scheduling Session on Monday from 8:30 a.m. to 9:30 a.m. provides buyers the opportunity to visit U.S. Suppliers in their booths to schedule appointments. There will also be an Open Appointment Session on Tuesday from 8:30 a.m. to
8:55 a.m. U.S. Suppliers are encouraged to be in their booths to meet and or schedule appointments with buyers who may have open time slots. The Appointment Scheduling Session will be followed by up to a maximum of 44 pre-scheduled appointments per 10' booth space.

Open Networking Time - New This Year!
Open Networking Time on Monday from 1:45 p.m. to 2:10 p.m., Tuesday from 1:35 p.m. to 2:05 p.m., and Wednesday from 1:30 p.m. to 2:10 p.m. provides attendees with extra time to network.

U.S. Supplier-only Requests
Again this year, up to 5 U.S. Supplier-only appointment requests per organization may be scheduled without the mutual request of the buyer. Appointments will continue to be scheduled with priority given to mutual requests first, followed by International Buyer, then Domestic Buyer and then U.S. Supplier requests.

Appointment Options

Extra Appointments Option
The Extra Appointments Option is designed for exhibiting organizations who do not feel that the 44 appointment time slots per booth are sufficient in meeting the demand from buyers to meet with them. If your organization has received fully booked schedules in the past and is able to handle additional pre-scheduled appointments, the Extra Appointments Option may be useful for you. We do not recommend this option for first time exhibitors or exhibitors who have not had full schedules in the past, unless you are confident you will have high demand for appointments from the buyers.

Each booth space at International Pow Wow has the possibility of 44 pre-scheduled appointments. However, if your organization has requested the Extra Appointments Option, the computerized appointment scheduling process will allow up to an additional 20 appointments to be scheduled for a possible total of 64 appointments per booth space.  Please be staffed to handle additional appointments. 

If you select and pay for the Extra Appointments Option, YOU will have the opportunity to request an additional 20 buyers!  Of course, mutual appointment requests still have the highest priority in the scheduling process and your requests are not guaranteed, but by allowing you to make more requests, you are improving your chances of getting appointments that you would not have gotten without this option.

Domestic Buyer Appointments Option
Free Option!  U.S. Suppliers will have the opportunity to meet with qualified Domestic Wholesale Buyers, Online Travel organizations and buyer representatives from exhibiting Receptive Tour Operators in formal, pre-scheduled appointments. If you are an Exhibitor who would not like to meet with Domestic Buyers, please add the Domestic Buyer Appointment Option - Opt Out to your shopping cart when you register online.

Multiple Booth Scheduling Option 
Free Option! This option was developed to make scheduling appointments more efficient for U.S. Suppliers with multiple adjacent booths that combine their appointment schedules. To take advantage of this, add the Multiple Booth Scheduling Option to your shopping cart when you register online.  You must also complete the Multiple Booth Scheduling Option Form. By completing and submitting this form to U.S. Travel, you are agreeing that the organizations you list are to be considered part of a 'Scheduling Group' during the appointment scheduling process. Each organization will be linked together so that buyers are only scheduled once in this Group. Each organization included in your list must also submit the form as confirmation of their agreement to be included. This option needs to be selected by March 30, 2009.

Press Appointments Option
Free Option!
We anticipate that more than 250 International Journalists from 40 countries will attend International Pow Wow this year and your organization has an opportunity to schedule appointments with them. If you are an Exhibitor who would not like to meet with Press, please add the Press Appointments Option - Opt Out to your shopping cart when you register online.  This option needs to be selected by April 6, 2009.

This unique opportunity gives you the chance to meet and share information with Visit USA Committee Chairs from all over the world.
